1. Greets and directs physicians, patients, hospital staff and other individuals in a polite and efficient manner. Provides accurate information when directing and assisting other individuals. Shows the ability to organize and prioritize all incoming telephone calls, visitors, and physicians simultaneously.
2. Maintains a professional manner while under stressful situations. Serves as a resource for physicians, staff, patients and visitors regarding hospital activities and policies.
3. Maintains enough chart supplies. Removes outdated chart forms from supplies. Assembles new patient charts ensuring that the sheets are in the correct order and properly labeled.
4. Files chart documents in a timely and orderly manner. Accurately and promptly files charts for easy retrieval.
5. Appropriately manages medical record. Records are reviewed each shift for completeness with all items on the Medical Record Review checklist.
6. Maintains the location of charts at all times.
7. Verifies the availability of rooms for occupancy. Properly informs the staff of new admissions, transfers, and discharges. Assure charge nurse of all activities affecting a patient’s care or census.
8. Compiles the necessary paperwork in a timely and complete manner. For transfers and discharges, ensures that the complete charts are sent to the appropriate areas. Notifies the appropriate departments of transfers and discharges in a timely manner.
9. Assures consent forms are properly and fully completed per policy and in the char.
10. Effectively manages assigned work queues for the department/role.
11. Assures Advanced Directive documents are in the electronic record and available in the chart.
12. Consistently tracks and monitors performance improvement and quality data for the system as assigned.
13. Consistently demonstrates familiarity with routine department tests, exams and procedures. Notifies the appropriate staff and ancillary departments of pertinent schedule changes in a timely manner.
14. Maintains an adequate supply of stock in a cost-effective manner and avoids shortages when possible. Promptly arranges follows-up with necessary maintenance and repair through the proper channels by entering service requests in the system.
15. Modifies daily activities to respond to changes in the clinical unit. Prioritizes the workload to meet unit needs and communicate these decisions effectively. Keeps the immediate work area neat and organized. Promptly communicates to the supervisor/lead that the work cannot be completed within established time frames, when appropriate.
16. Attends mandatory department in-services. Shares learning experiences with others.
