ADMINISTRATIVE ASSISTANT SENIOR
Lead Poisoning Prevention

The Administrative Assistant Senior is responsible for higher-level office administration and customer service assisting the Lead Poisoning Prevention Team. This position provides a broad variety of projects and tasks internally as well as in collaboration with community partners aiding and supporting with a variety of complex administrative duties which may include confidential and sensitive matters. This Lead Poisoning Prevention position is funded by a federal grant through the Department of Housing and Urban Development (HUD) and is based on continued funding. The current grant funding runs from April 2025 through March 2029. This position reports to the Environmental Health Manager.

2025 Hiring Range: $21.82 - $24.79 per hour
Essential Duties and Responsibilities
General Responsibilities
- Compile and prepare a variety of reports and records
- Draft letters, reports, contracts, meeting minutes, mortgage papers, and other documents
- Uphold P-card registrations, supply ordering, and policies for Finance
- Maintain, add, balance, and reconcile data in spreadsheets
- Operate a variety of office machinery including but not limited to fax machine, photocopier, printer, computer terminal, typewriter, and multi-line phone system
- Work cooperatively with staff to execute projects according to program plans, protocols, and timelines
- Perform general clerical functions such as organizing forms, program materials and educational handouts, photocopying, filing, answering phone calls, scheduling appointments, keeping an electronic calendar, and general e-mail correspondence
- Participate in the broader divisional orientation, training, and staff development functions
- Ensure adherence and compliance to the policies and procedures of the federal Health Insurance Portability and Accountability Act (HIPAA) regarding protected health information
- Coordinate appointments with clients, partners, and contractors
- Conduct meetings with clients in the office and in client homes explaining the program protocols, paperwork, and services
- Commit to weekly office time and contract signings at City of Racine Health Department
- Perform other work as required or assigned
Community Outreach
- Coordinate with various outside organizations, translation service, and other staff, including but not limited to the areas of outreach events and training programs
- Assist the public and clients requesting information or services via phone, email, and web forms
- Answer questions regarding programs and provide forms, applications, and other information
- Participate in community outreach activities such as distributing program brochures, retrieving client referrals as delegated by supervisor, and mobile clinics
- Perform other work as required or assigned

Job Requirements, Education, Training and Experience
Required Education and Experience
- High school diploma or GED equivalent
- 3+ years of experience in an executive and/or office assistant or similar position
Preferred Education and Experience
- Associate degree
- Bilingual proficiency – English and Spanish
- Or, any combination of education, training, and experience which provides the required knowledge, skills, and abilities
Other Job Requirements
- Valid driver’s license and acceptable driving record
- Access to a personal vehicle for use in the performance of the job
- Occasional weekend and evening work
- Ability to perform other work as required or assigned including but not limited to a 24/7 response during a public health emergency
